This isn't legal jargon—it's a plain-English explanation of what happens with your information.
When you send a message: Your conversation is sent to an AI provider (like OpenAI or a local server) for processing. The AI reads your message, generates a response, and sends it back to you.
Who sees your data: Your messages are seen by the AI provider configured by your organization. If using a cloud provider like OpenAI, your data leaves your organization's network.
What we store: Signed-in chats are saved as conversation files so you can reopen, search, or delete them later. Guests remain session-only, but every prompt still generates an entry in our audit log.
Audit trail: Every prompt and AI reply (all tiers) is copied to an admin-only log file that feeds analytics and incident investigations. Logs rotate after roughly ten files (~100 MB) but may be kept longer if compliance requires it.
Who can access saved data: You can only see your own history. Administrators can review specific transcripts or log entries when troubleshooting, responding to legal requests, or handling security incidents.

Step 1: You type a message and hit send.
Step 2: Your message is sent to the configured AI provider along with your recent conversation history for context.
Step 3: The AI provider processes your message and generates a response.
Step 4: The response is sent back and displayed in your chat.
Step 5: If you're signed in, the full exchange is saved to your personal conversation history, and the prompt/response pair is appended to an admin-only audit log.

Personal history: Saved under your account so you can reopen, rename, organize, or delete chats from the history sidebar or /history command.
Audit logs: Stored in rotating JSONL files that only administrators can access. They include user IDs, timestamps, prompts, and responses for compliance, abuse prevention, and analytics.
Deleting data: Removing a chat clears it from your history but not from the audit logs. Ask an administrator to scrub the relevant log entries if you need them removed sooner than the automatic rotation window.
How voice works: When you use voice input, your audio is recorded in your browser and immediately converted to text using speech-to-text technology.
What happens to your voice: Voice audio is not stored on Nova servers. It's sent only to the configured AI provider (if speech-to-text is cloud-based) and is not used for training purposes.
Provider agreements: Our agreements with AI providers specify that voice recordings—like all user data—are not used to improve or train their AI models. Your voice data is processed only to generate the text response you requested.
Important: Treat voice input the same way you treat text input. Don't dictate passwords, API keys, or highly sensitive information into the chat.
If you attach files (images, documents), they're converted to a format the AI can read and sent along with your message to the same AI provider.

If you're signed in, your username and email are stored locally. Your password is never saved in plain text—it's encrypted using industry-standard security.
If your organization uses LDAP or Active Directory login, your password is verified by that system and never stored by this application.

As a guest, you're using a completely isolated version of the AI with no organizational context.
What the AI knows about you: Nothing. It doesn't know what organization this is, who works here, or any internal information.
Privacy guarantee: The AI can't leak information it doesn't have. Your conversations are completely separate from organizational knowledge.
As a signed-in user, the AI may know your organization's name but has limited additional context.
What the AI knows: Organization name from branding, but no access to internal systems, employee data, or organizational structure.
As a staff member, you're interacting with an AI that has organizational context.
What the AI knows about your organization:
What this means: If you ask "Who is John Smith?", the AI might respond based on internal documents, email addresses it's seen, or previous conversations—even if there's no employee database.
⚠️ Important: Your conversations about employees, clients, or projects are sent to the AI provider. Be mindful when discussing sensitive information.
Audit reminder: Everything you type (and every AI reply) is saved in your personal history and the admin-only log with your user ID, so treat the chat like a permanent record until you delete or request a purge.
Admin tier has full staff access plus elevated system controls, audit tooling, and configuration capabilities.
All staff-level privacy considerations apply, and actions may include reviewing organization-wide usage or adjusting system settings.
You have rights regarding your data:
You can ask what data is collected and how it's used. This modal is part of that transparency, but you can also ask Nova directly (e.g., "How do you use my data?") for detailed technical information.
You can clear a chat with the /clear command or delete threads from the chat history sidebar. Signed-in conversations stay saved until you delete them (or an administrator purges your storage), so closing your browser alone no
longer removes them.
Need an audit log entry removed sooner than the normal rotation window? Provide your administrator with timestamps or conversation IDs so they can scrub the relevant log files.
To delete your account and associated data, contact your system administrator.
You can save your conversation as an HTML file using the /save command. This gives you a permanent record of your interaction.

The AI maintains context throughout your conversation, so you can have natural back-and-forth discussions.
Your conversation is automatically saved in your browser while you're chatting. The AI remembers earlier parts of the conversation, so you can reference previous topics.
Note: Conversations are cleared when you close the browser or use /clear
/clear - Start fresh with a new conversation/summarize - Get a summary of your current conversation/save - Export conversation as HTML file/top - Scroll to the first messagePress the Up Arrow key in an empty message box to cycle through your previous messages. This makes it easy to resend or edit recent prompts.
